Operations Manager, Joan Mitchell Center

New Orleans, LA

STATUS:  Full-time, Exempt
REPORTS TO: JMC Director

POSITION OVERVIEW
Based in the culturally diverse and historic city of New Orleans, the Joan Mitchell Center’s mission is to support local, national, and international contemporary visual artists. The Center, a program of the Joan Mitchell Foundation, is an artist residency center developed to offer both time and space for artists to create work in a contemplative environment. In addition to the Artists in Residence program, the Center curates and produces public programming that serves the broader community of New Orleans, and endeavors to serve as an incubator, conduit and resource for partnerships in the arts.

The Operations Manager is responsible for the creation, maintenance, assessment, and oversight of the Joan Mitchell Center’s property and operational systems as a program of the Joan Mitchell Foundation. The Manager will work to create clear and transparent roles and responsibilities for staff, including: Center protocols and procedures; maintenance and evaluation of the operations of the property and facilities; and assessment of integration of administration and programmatic components.

KEY RESPONSIBILITIES WILL INCLUDE:

Facilities and Property Systems

  • Ensure the smooth operations and ongoing maintenance and upkeep of all JMC property, grounds and facilities
  • Develop short- and long-term maintenance/renovation strategy/plans for all properties, in collaboration with the JMC Director, that align with appropriate Center and Foundation priorities
  • Manage the grounds, housekeeping and cooking staff; work with them to develop ongoing systems to ensure smooth operations of the facilities
  • Liaise with JMC Director and NYC-based Director of Facilities on relevant projects, processes and protocols
  • Act as Point Person for consultants and vendors relating to facilities and operations
  • Oversee security of property and emergency preparedness planning and execution
  • Coordinate strategic and operational planning with hospitality and property teams
  • Oversee special projects outside of traditional residency-related activities

Operational Systems

  • Manage major contracts with the JMC Director and JMF Senior Management Team as needed
  • Shape systems of accountability with clear policies and procedures
  • Compile, assess and keep up-to-date an internal operations manual for continuity of systems, which includes protocols and procedures for facility, property and office
  • Manage administrative systems for implementation relating to property use by artists, organizations, guests and staff
  • Standardize internal and external materials for staff use
  • Research and compile relevant AIR program documents
  • Recommend, engage and manage consultants and contractors for specific needs
  • Maintain a public space for computer/printer use
  • Create an orientation for guests in coordination with Program Director (to include special events) and oversee its application by staff 
     

 


Financial Coordination

  • Uphold JMC/JMF financial systems of accountability and work with Senior Director of Finance to implement/develop financial policies unique to JMC
  • Provide financial reports for Center Director and senior management as needed 
  • Maintain and review expense reports, departmental and/or project spending plans and budgets with staff 

Technology Oversight 

  • Oversee and manage work plan for IT support (in coordination with NYC Operations) including: software updates and needs; hardware maintenance and updates; organizing JMC server; operations and purchasing of devices; maintenance of phones, internet, and website services and equipment
  • Ensure creation of IT guide for staff reference
  • Organize regular professional development opportunities for staff in the area of technology, communication and computer use

QUALIFICATIONS, KNOWLEDGE, AND SKILLS REQUIRED: 

  • Bachelor’s degree, or equivalent Operations experience, no less than 5 years
  • Demonstrated success managing a team, preferably in a similar role
  • Ability to network and make professional connections
  • Ability to work with city and state agencies regarding physical property
  • Strong project management skills
  • Strategic planning around capital projects
  • Facilities and/or property management experience
  • Experience overseeing a budget
  • Experience with Mac based computer systems and intermediate to advanced proficiency with Microsoft Word, Excel, and PowerPoint
  • Excellent communication skills, written and oral
  • Driver’s license and clean driving record
  • Sense of humor
  • Proactive and solution driven
  • Flexible schedule (evenings and/or weekends, if necessary)
  • Flexibility to travel out of town for work-related events, as necessary
  • High level of personal and professional integrity and trustworthiness with a strong work ethic

ADA SPECIFICATIONS (physical demands that must be met in order to successfully complete the essential functions of the job)

  • While largely sedentary, this position requires the ability to sit, stand, lift up to 20lbs, speak and hear, sometimes for extended periods of time. 
  • Requires the ability to use a computer and office equipment traditionally found in office settings
  • Requires the ability to travel regionally and periodically nationally, on behalf of the Foundation
